Purpose and handling of data collection

Personal contact information is used primary to follow up commitments and meeting customer expectations. In addition, Jotron is focused on ensuring good service and correct handling of all those that Jotron has contact with.

In general, you can browse this website and potentially other Jotron services without revealing any of your personal information other than your IP address (Cookies). However, when you are assigned login user identification, you are required to provide personal information, meaning you are no longer anonymous to Jotron. All fields, are identified as required or optional as applicable. Customer data (Enterprise Resource Planning system)

When you become or are a customer, partner, supplier or potential customer (who has expressed interest in Jotron products), you will be required to supply the following personal information:

Which is then entered into the Jotron ERP system. Jotron uses an ERP system for the processing of all purchases. This information is also used to maintain our customer relationships and ensure that we provide the best customer services regarding offers and the tracking of support issues.

When Jotron establishes a customer, partner or supplier relationship, the legal basis is GDPR article 6 (1) b) to fulfill a contractual obligation. The legal basis for the processing of personal data related to potential customers is GDPR article 6 (1) f), regarding the legitimate interest for which the personal data is pursued. Jotron has a legitimate interest in having contact with potential customers, for example when a business card is given to a Jotron employee, it is implied that both you and Jotron expect to keep in touch.

Storage limitations

Information is stored both at Jotron and with our third parties. Personal information is stored so long as the relationship is active. All personal information is confidential and will not be distributed to anyone Jotron does not have a data processing agreement (“DPA”) with. Jotron will delete personal information without undue delay as soon as the purpose for which it was collected and/or processed is completed. Jotron reviews all personal data once a year.

Breach of personal data security

In the event of a breach of personal data security (for example a hacker attack or loss of personal data), Jotron will advise the appropriate officials. A breach of personal data security is defined as the result of unintentional or unlawful destruction, loss, alteration, illegal dissemination of or access to personal data being processed.

Access to information

To ensure that your personal information is handled in a safe manner, any third party partner/supplier that has access to the information you supply, have entered into DPA’s. The DPA’s ensure that the personal data only is used for explicit purposes and that the processing is in accordance with the requirements of GDPR.

Jotron will not reveal, sell, distribute, rent, license, share or forward personal information or data to any third parties, other than those Jotron has a DPA with. Jotron has a DPA with all distribution partners, which distribute information and marketing materials. These are typical hosting/server system supplier, online e-learing system supplier, ERP system supplier, digital service supplier and email distribution supplier.

Jotron does not share more personal data with our data handling supplier(s) than necessary to complete a request.

Processing of personal data at Jotron occurs both inside and outside the EU/EEA. In cases where the personal data is processed outside EU/EEA, similar privacy laws exist, or EU standard agreements are used. Jotron has DPA’s in place ensuring appropriate processing.

Securing information

All individuals have rights to be informed how personal data activities are handled at Jotron. This privacy statement clarifies that Jotron takes into account personal data in accordance with the privacy laws.
